Managing Controlled Scale at Enterprise Level: Pertamina HAKORDIA 2025

Pertamina HAKORDIA 2025 brought together 1,650 registered participants over two full operational days at Grha Pertamina Gambir. With a hard ballroom capacity limit of 500 attendees, the event required strict access control, fast QR-based check-in, and consistent enforcement of regulations. Powered by Trxpo, the event achieved 5-second average check-ins, zero capacity violations, and seamless multi-day attendance tracking using a single QR code delivered automatically via WhatsApp.

Event Overview

Pertamina HAKORDIA 2025 was held as a two-day enterprise-scale internal corporate event commemorating Hari Anti Korupsi Sedunia. The event ran from 07.00 to 17.00 on both days and recorded a total of 1,650 registered participants. While registration volume was high, the primary operational challenge was not throughput alone, but maintaining strict control over ballroom access while preserving a smooth participant experience.

The Scale Challenge: Volume, Time, and Regulation

The main ballroom at Grha Pertamina Gambir operates under a fixed maximum capacity of 500 attendees. Despite having 1,650 registered participants, access to the ballroom had to be managed using a first-come, first-served policy without exception. The system needed to operate reliably across 20 total operational hours while preventing overcrowding and ensuring full compliance with building regulations.

Designing a Single QR Identity

Participants completed online registration prior to the event and automatically received a personal QR code via WhatsApp. This QR code acted as a persistent identity for the entire event. The same QR code was used on Day 1 and Day 2, eliminating the need for re-registration or multiple credentials while allowing accurate tracking of attendance across both days.

Onsite Operations: Speed With Control

Onsite check-in was fully QR-based and averaged approximately 5 seconds per participant, even during peak arrival periods. Once the ballroom reached its maximum capacity, additional participants were admitted to the foyer area instead, where they could continue engaging with booth activations and interactive programs. This ensured safety, fairness, and uninterrupted flow without manual intervention.

Beyond Check-in: One QR Code, Multiple Activations

The same QR code used for entry also powered booth activation games, audience voting, and doorprize verification. Each QR code could only be used once per voting interaction, ensuring fairness and data integrity. This demonstrated how a single credential can unify registration, access control, engagement, and verification workflows within one system.

Consistency Across Two Full Operational Days

Over two days and 20 total operational hours, the system maintained consistent performance across registration, check-in, access enforcement, badge printing, and attendance tracking. This level of stability is critical for enterprise events where reliability must be sustained, not momentary.

What This Event Demonstrates

Pertamina HAKORDIA 2025 illustrates that scale is not defined solely by attendance volume, but by how precisely access, safety, and engagement are controlled. Managing 1,650 registered participants within a strict 500-person ballroom capacity—while maintaining 5-second check-ins and multi-day continuity—requires systems designed for discipline, not improvisation.
